Vending machines are pretty much part of our everyday lives. Drinks, snacks and all manner of personal goods are dispensed into our waiting grasp at the push of a button. But just because this process involves no human interaction doesn t mean the machine did it all by itself.

A vending franchise is the means to this end and it often proves to be a surprisingly varied career opportunity.

What is it?

The world of vending machine franchises is not large but considering the products on offer, it is significant. Unusually among franchises there are a number that can be run on a part time basis as well as full time so you can largely choose your hours. Although be aware this is not the case with all.

The first things you must consider when making a business plan is, What are your goals? , and Does the math work? Many people first get the idea to get into vending because the notion of passive income and controlling their own destiny is so compelling. While this is true, they forget to calculate if it even makes sense for them.

Without a proper business plan, you can set yourself up for failure from the start. This is because, in vending, there is a significant delay between your actions and your financial results. Whether you make the right or wrong decision, you don t see your outcome for a while. So much money is moving from place to place in vending that it can be hard to track. There are many sources of income: Cash from machines, free vend, subsidizations, renting machines, rebates from corporations, and more. Expenses are varied, including but not limited to: Rent on a warehouse, insurance, vehicle repair and maintenance, machine repair and maintenance, buying product, accounting, and acquiring new accounts. Revenue from the business is the result of thousands of small transactions. In general, your profit is not immediately obvious.

Why create a business plan?

It may seem straightforward, but in a business where the average operating profit is 45%, but the average net profit is just 2%, you can’t afford not to plan. Creating a business plan will help you price your product, set up service schedules, set minimum sales requirements for locations, determine how much you can afford to invest in new business, and it lays the groundwork for your future success.

If you don t create a business plan, you could be working for less than minimum wage in a job that is supposed to give you more time and freedom.

Where do I begin?

A business plan can only be effective if it reflects your specific goals. If you haven t already, ask yourself some of these questions:

  • How many hours are you willing to work?
  • Are you looking to build it and sell it or give it to your kids some day?
  • Is it a retirement vehicle?
  • Will you need to train someone to eventually run it for you?
  • Do you have cash to invest in it or are you building it from scratch?
  • Do you want a flexible schedule or time to travel or spend with loved ones?
  • What resources do you already have? A person who is well connected will have a lot easier of a time starting out than a person who has just moved to the area.
  • Do you have warehouse space or a vehicle you can use?

I strongly encourage you to really consider these questions and how running a vending business will fit in with your overall lifestyle goals. This could take you days or even weeks if you haven t consciously thought of it before. Once you seriously answer all of these questions, you ll need to start doing some math.

Doing the math

The exact math you need to do will be reflective of your specific goals and the resources you need to achieve those goals. As such, it s beyond the scope of this article. If you need help deciding what s realistic for you, I suggest seeking the help of a professional in the vending industry.

What you need to keep in mind is that vending machines have a significant up front investment. It could take a year for the sales of a machine to recoup the cost of buying and installing the machine. This means that, although you will be making cash money immediately, you will not likely profit from those vending machines for at least a year.

This reality needs to be reflected in your business plan. If it takes each of your machines one year to pay off their debt, those machines are not making money for you right now.

How are you making money right now? Do you have this as a side job? Do you offer a service, such as installation or repairing machines for other vendors? Do you have office coffee service where the cost of installation is potentially much cheaper and the per item value potentially much higher?

On the other hand, can you afford to not turn a profit on this machine for the allotted time? Can you afford to add at least 15% to that number to account for maintenance costs? If you can absorb these for the time being, great! If it s not making you a profit, it still may be a good idea, as long as you plan for it.

Growing your vending business

Planning for the future is also part of your business plan. How do you plan to grow your business? Do you plan on making lots of cold calls? Do you plan on generating a referral based business?

Learning vending is a fantastic way to learn how to run any business. This is because, instead of running one giant entity like a restaurant, you are running dozens or hundreds of tiny machines, each with their own cash flow. In doing this you will get really good at recognizing good business opportunities and bad opportunities because you can automatically do the cash flow in your head.

Like many other businesses, a vending business has an economy of scale. Vending supply companies, such as a cash and carry. sell products in cases, so if you only have one snack machine and you buy a case of chips, unless that company only buys one kind of chips then I guarantee your chips will expire before you sell them all.

A case is 64 chips. In an average snack machine, a row for chips is between 10-12 spaces. This means that you will need 6 rows of one kind of chip to sell in no more than two months, because chips usually expire in two months. You will most likely have expired chips in this scenario. If you are in this situation, then you should probably take away your snack machine until you can find a location with a higher volume of sales. A vending business profits immensely from a certain scale, because you can get and utilize cases to offer a variety, get rebates from manufacturers, begin hiring employees so you re not doing as much route driving yourself, and get deliveries from vending supply companies instead of going to them to get product. These are just some of the benefits of scaling up your business.

Since scaling is so important, you must decide if you’ve gotten started in the business too small. If this is your problem, you might be better off selling your route to someone with a larger business and working under them on a contract basis. Otherwise, you will have to secure a large loan in order to purchase a lot more equipment if you want your business to scale up quickly. This debt will then be subtracted from your profits. If you can still make a profit after subtracting all of your business operating costs and paying back the debt for starting the business, then great!

Final Thoughts

The difficulty of creating a sensible business plan is why so many small time vendors go out of business so quickly. More and more the little guys get squeezed out because the cost of running a business is much harsher for a smaller business as it is for a slightly larger business. This is because often time your fixed costs (rent, insurance, product cost, etc) remain the same whether you have two machines or two hundred machines.

Cecil Tyrell Whisenton got his start in franchising at the lowest rung of the ladder: waiting tables at Outback Steakhouse. Over the years, he moved up in the business, ultimately buying the same Outback where he waited tables. Eventually, he decided he wanted to look into a different vein of franchising: the healthy vending business. HUMAN Healthy Vending set itself apart in Whisenton s eyes with its commitment to charity and appealing vending machines.

Here s what he has learned as he worked his way up from waiter to franchisee.

How long have you owned a franchise?

Since April of 2013, so 1-1/2 years.

I chose the franchising route for a few reasons. First, I feel it is a lot less risky to become part of a franchise than to start a business from scratch because a business model is already in place. Second, the startup cost to franchise is much lower compared to starting a brand new company. Lastly, being a part of a franchise that already has an infrastructure in place gives me more flexibility with my time, which gives me more time with my family. That s priceless!

What were you doing before you became a franchise owner?

After attending St. Mary s University, where I was in the Basketball Hall of Fame Class of 2012, I started waiting tables at Outback Steakhouse in San Antonio. After working very hard, I was able to advance up the management chain and, in 2005, was able to purchase the exact Outback where I had started as a waiter. I owned and operated that Outback for a number of years and was fortunate enough to learn a lot of my entrepreneurial skills from the OSI family.

Why did you choose this particular franchise?

I initially chose the HUMAN Healthy Vending franchise after comparing it to a few other healthy vending franchises. I felt HUMAN s machines were more appealing.

I was also very impressed with HUMAN s philanthropic efforts compared to the other companies who only seemed concerned with revenue and profits. How much would you estimate you spent before you were officially open for business?

Franchise fee: $25,000

Where did you get most of your advice/do most of your research?

Initially, the internet was my main source of information as I was able to compare different franchises side-by-side. Later, I talked with representatives of each potential franchise business. When narrowing my options down, I began talking to franchisees in the field, including a HUMAN operator here in San Antonio. This operator has been instrumental in helping me develop my business.

What were the most unexpected challenges of opening your franchise?

I didn t really encounter any unexpected challenges. My business partner really prepped me for any and all situations. All of the situations that could have been stressful were really just learning experiences that I really appreciated.

What advice do you have for individuals who want to own their own franchise?

My advice for individuals who want to own their own franchise is to be sure to do their research. There are a lot of very good franchise opportunities out there, but they re not necessarily a good fit for everyone. Try to find a few different franchises in the same field to compare side by side. Lastly, just do it; you ll be glad you did.

What s next for you and your business?

We definitely have a lot of things in the works here in San Antonio. We have contacted just about every school district in and around San Antonio and are preparing to grow our business significantly in the next six to nine months. We ve put an early focus on public schools because of the new snack guidelines handed down from the USDA called Smart Snacks In School . We also plan to contact most of the private schools in San Antonio, along with businesses and workout facilities, to see if they are interested in installing healthy vending machines.

Can You Really Make Money With Vending Machines?

The ads are alluring: “Make $500 an Hour in the Vending Business!” “Earn Money While You Sleep in a Vending Machine Business!” But they sound way too good to be true. Can vending machines really be a viable way to earn cash?

The National Automatic Merchandising Association reports that 18 percent of vending-machine operators make between $1 million and $5 million a year. But proceed with caution: The Better Business Bureau warns of scams. and a search of “vending machines” on the Federal Trade Commission’s website unearths dozens of fines and lawsuits.

Here are a half dozen tips for getting into the vending-machine business safely and profitably.

  1. Decide on the vending machine type. Many vending machines are filled with a selection of drinks and snack foods. Others focus more narrowly on a particular category, such as ice cream, popcorn, cigarettes, videos (think Redbox ), or personal hygiene. Some machines dispense individual units; others offer items in bulk, such as hard candy and gumballs.
  2. Get the proper licenses. In some states you’ll need a seller’s permit to operate vending machines, and many states require you to charge sales tax on the items in the machines. The tax varies by state, as does the minimum price that launches the requirement to collect the tax. Be sure to check with your local licensing office to find about the requirements in your area.
  3. Buy the machines. Decide whether you want to buy new or used machines. Prices can vary wildly: A new machine often runs a few thousand dollars, while used ones go for a few hundred or less on Craigslist. eBay. or Amazon. Keep in mind that all machines eventually break down, so you’ll need to either hire someone to repair them or learn to do so yourself. (Tip: You can buy parts from a manufacturer such as Vendors Exchange International .)
  4. Buy or lease a truck. Depending on how large your operation is, you’ll need a van — or, perhaps, a specialized beverage truck — to carry products from machine to machine. A used truck starts at about $5,500 at places like Specialty Trux. or you can lease a basic truck for about $500 a month.
  5. Find a supplier. You can buy products in bulk at a local big-box store or go online. Check out sites like Candymachines.com for bulk candy, or SmartVending for a full line of supplies. Markups will vary, depending on the product. Bulk items, such as candy and gumballs can be marked up 200 to 300 percent, while single items can typically be marked up between 60 and 100 percent. Of course, the more products you buy, the better price you’ll get, so you may have to settle for lower markups when just starting out in order to be competitive, and then increase them as you add machines.
  6. Secure a location or two. Where you place your vending machines will determine how successful you are. Check out each site before you approach its owner. Look for a place that gets a lot of foot traffic, such as an airport, a parking lot, a shopping mall, a large office building, or a busy waiting room. Once you select a location, approach the owner and work out a deal. Some vending machine operators offer the owner a small percentage of their profits; others donate a portion of sales to charity. NAMA, in its publication Vending 101 [PDF], suggests that you sign a written contract whenever you place a machine.
  7. Service your machines. Once your machines are placed, it will be up to you to keep them clean, well-stocked, and in working order. You may be able to do this by visiting once a week, but if the machine is popular, you may need to turn up more often.

Of course, all of this isn’t quite as easy as earning money while you sleep. But with careful planning, hard work, and a little luck, you can run a successful vending-machine business.

The Truth About the Vending Business

When Steve and his father met with the vending machine distributor s salesman, warning bells should have gone off in their heads the first time he opened his mouth. Listen, he told them, if you want a guarantee, go get a CD at the bank. If you re businessmen, then let s do business.

That s when they should have said, No thanks. But they had pre-sold themselves on the deal. So they plunked down a quick $5,000 to buy two machines, and they were promised excellent locations.

Now Steve and his father weren t outright swindled. But the locations they were given didn t perform nearly as well as the salesman had promised. Steve s father badgered the distributor for better locations, but they refused. As far as they were concerned, they d honored the contract and the lawyer Steve checked with was in agreement.

I m not going to sit here and tell you that every distributor who sells vending machines in the classified section of your local newspaper will give you lousy locations. But Steve s didn t produce enough income to cover his investment in the equipment.

So one of the first insider secrets I learned about the vending business is that your written agreement with the distributor must describe the kind of locations you will be getting. It s unreasonable to expect them to guarantee that a particular machine in a particular spot will bring in a specific minimum income. But you can negotiate for other things. Like traffic the number of people who work at the location or the average number of people who walk by each day.

If, for example, your agreement calls for the distributor to provide locations in buildings with a minimum of 100 employees onsite, there s a good chance your machines will be profitable. If you don t specify the number of employees in your vending location, you could end up in a building with 100 of them or with five.

You can also negotiate to include a non-compete clause in your agreement stating that no other machines at that location can sell the type of product you re selling (beverages, snacks, etc.). You may also want to include a pre-approval clause so you can check out the location before your machine gets delivered there.

Admittedly, there are some landmines in the vending business that newcomers have to learn to watch out for. But if you know how to sidestep them, this is a very real profit opportunity. More than 100 million Americans use vending machines every day, National Automatic Merchandising Association spokeswoman Jackie Clark reported to The Christian Science Monitor. And it s a nearly $30-billion-a-year industry.

The vending machine business is

Simple: If your machines are at locations that aren t too far from each other, you (or someone you hire) can easily service your route in one day. And all it requires is loading them with merchandise and collecting the cash.

Lucrative: If you have 10 to 20 vending machines, you can bring in as much as $2,000 a day.

Flexible: Whether you want to be a part-time operator or a major player, this business can accommodate you. You can have as few or as many machines as you want. Some well-capitalized operations have as many as 500 or 1,000 machines.

If you want to get started in the vending business, here are some of the basic steps:

Decide What You Want to Sell

You can sell gumballs, condoms, ATM services, phone cards, beverages, snacks, health sundries, etc. in vending machines. I ve even seen machines that sell makeup, iPods, cellphones, headphones, DVDs, USB devices, and more.

Purchase the Machines

You can buy new or used machines from the distributor who will be supplying you with merchandise. I preferred used machines, because I could buy them at a fraction of the price of new ones and they had very few mechanical problems.

I began with one used snack machine that I bought for $50. Within a couple of weeks, I d made enough money to buy a number of small machines that dispensed handfuls of candy. These were also cheap less than $100 each. Within a couple of months, I had a 100 percent return on the cost of those machines, so I started buying some larger snack and beverage machines. In a matter of months, I had a 40-machine route that made a profit of almost $500 for every day I worked it. When I eventually sold the route, I made a profit of 400 percent on the cost of the machines, because they re worth a lot more on location.

Secure Your Locations

Like retail, this business is all about location, location, location. You want your machines in places that have lots of traffic large companies, auto dealers, hospitals, colleges, airports, etc.

If you buy from a distributor that supplies the locations as well as the machines, follow the advice I gave above to negotiate for good spots. If you ll be finding the locations yourself, you ll have to do some work. For my first vending route, that meant marching into business after business and getting a hundred rejections to hit that one yes. For my second route, I saved time and energy by using direct mail to get leads that I would then follow-up on in person. You can also hire a third party to scout out locations. Most of them get a flat fee that is negotiable, but it usually ranges from $150-$500 for each spot they find for you.

No matter how you find good locations for your machines, you ll have to use the powers of persuasion you ve been learning in ETR to convince the owners or managers of those properties to let you set up shop. ] Some of them will want a percentage of the profits. (What you agree to is negotiable, but I would suggest no more than 10 percent.) Others will just want to make sure you will keep the machines well-stocked and in good working order.

Service the Machines

Machines in really hot locations may need to be serviced more often, but for my vending business, a weekly visit to the machines to collect the money and restock them was enough. The distributor you buy the machines from will train you on how to do it. It s not hard. I m not a very mechanical person, and I had no problems.

So give a little thought to the vending machine business. If you do it right, it ll be a nice source of side income for you.

How can 20 vending machines make $2000 a day. Thats $100 a day each. And then you say that you travel once a week to refill and collect the cash. It does not add up correctly, because the machine can not accomodate $1000 worth of sodas weekly. I think your article is a little biased. However vending machines seem to be a good investment indeed.

I assumed it was a misprint probably means a month.

I teach folks how to start vending businesses, and I think there are a few really good points in this article. It s important to be realistic about earnings in a location, though. A snack vending machine won t easily clear $100 per day, but a micro market could get close to that number in an office of 150-200 people. A snack and drink combo machine is a great solution for small and mid-sized locations, as it doesn t take up a lot of space but does offer plenty of choices. I ve been very happy with my personal route, and many of my customers say the same. It just takes the right plan.

Research, Google, read and find it yourself. If you want it bad enough, you will figure it out for yourself.

Hi, can I ask you a question? I saw a route for sale, it s two machines in a small city outside Fort Lauderdale, for $17,000, and the seller claims he s making $700 a month. Is that realistic? Or is he really making $300 a month and claiming more?

$700 a month out of two machines would break down like this:
•$350 per machine
•$17.50 per day (assuming open 20 days/month)
•20 vends per day (assuming an average of $0.85 per vend, which is a blended average of snacks and drinks

It s possible but I wouldn t move forward without printed sales reports from the telemetry system that they re using. This is a cash business to some extent but any reasonably modern machines utilize telemetry to track sales. Ask for those before you sign anything.

Wow! Spending $17,000 to make $140 per month doesn t sound like a great deal to me. I appreciate your advice. I m reading a book about vending, maybe I ll start small with gumbal and candy machines, the ones that don t need to be plugged in (Vendesign).
